All Together is a not-for-profit Community Interest Company. Our Volunteer Advisors give their time for free to support founders and CEOs through 1:1 sessions.

1. Mentoring Agreement 

This agreement sets out what mentors and mentees can expect from each other. Both confirm they have read it before their first 1:1 session. 

Mentors will: 

  • Give honest, practical guidance based on their own experience 
  • Keep everything shared in sessions confidential (see our Confidentiality Policy) 
  • Arrive on time and prepared, and give at least 24 hours’ notice if they need to cancel 
  • Declare any conflict of interest (see the Conflict of Interest Policy) 
  • Stay within their experience, and suggest other support where needed 
  • Never sell services to, or ask for payment from, a mentee 

Mentees will: 

  • Come to each session with clear goals, challenges or questions 
  • Arrive on time, and give at least 24 hours’ notice if they need to cancel 
  • Treat their mentor with respect and value their time 
  • Take responsibility for their own decisions. Mentoring is guidance, not legal, financial or other professional advice 
  • Share feedback with All Together after sessions 

All Together will: 

  • Match mentors and mentees based on challenges and experience 
  • Offer support if any issue comes up in the relationship 
  • Handle personal information in line with the Data Protection Policy 

Ending the relationship 

Either side can end the mentoring relationship at any time by telling the other person and All Together. No reason is needed. All Together may end a relationship if any of these policies are breached. 

2. Code of Conduct for Mentors 

All Volunteer Advisors agree to follow this code whenever they act as a mentor for All Together members. 

As a mentor, I will: 

  • Act with honesty, integrity and professionalism at all times 
  • Treat every mentee fairly and with respect, regardless of their background or personal characteristics 
  • Keep all information shared with me confidential, except where the Confidentiality Policy or the mentee allows otherwise 
  • Declare any conflict of interest as soon as I become aware of it 
  • Be clear about the limits of my experience, and never present guidance as legal, financial or other regulated advice 
  • Respect and encourage my mentee’s right to make their own decisions 
  • Prioritise questioning and thought guidance over explicit instructional advice 
  • Keep contact professional and use appropriate channels for communication 
  • Follow the Safeguarding and Data Protection Policies 

As a mentor, I will not: 

  • Use the relationship for personal, commercial or financial gain during the hours of mentoring facilitated by All Together, including selling services or seeking investment opportunities 
  • Accept gifts or hospitality beyond a token value without telling All Together 
  • Share a mentee’s information, ideas or business details with anyone else unless expressly requested by the mentee.  
  • Behave in a way that is bullying, harassing, discriminatory or otherwise inappropriate 
  • Use my position to pressure a mentee into any decision 

If the code is broken 

Concerns about a mentor’s conduct should be raised with the Policy Owner at support@alltogether.company. All Together will look into every concern promptly and fairly. Where the code has been broken, a mentor may be asked to step back from the programme. 

3. Conflict of Interest Policy 

A conflict of interest is any situation where a mentor’s personal, professional or financial interests could affect, or appear to affect, the guidance they give. Having a conflict is not wrong in itself. Failing to declare it is. 

Examples: 

  • The mentor works for, advises or has invested in a competitor, supplier or customer of the mentee’s business 
  • The mentor could benefit financially from a decision the mentee makes 
  • The mentor has a close personal or family relationship with the mentee 
  • The mentor is interested in investing in, working for or doing business with the mentee’s company 

Identifying conflicts 

  • Mentors declare any known interests when they join the programme, and update All Together if these change 
  • For each connection, All Together shares the mentee’s business name and website so the mentor can check for conflicts 
  • Mentors and mentees raise any possible conflict as soon as they notice it, even if they are unsure 

Managing conflicts 

  1. The mentor tells All Together by emailing support@alltogether.company. 
  2. All Together records the conflict and discusses it with the mentor and, where appropriate, the mentee. 
  3. All Together decides on one of the following: 
  4. No action needed, because the conflict is minor and both sides are comfortable with no legal issues.  
  5. Agreed limits, such as avoiding certain topics 
  6. A new match with a different mentor 
  7. The decision is recorded and reviewed if circumstances change. 

              If a mentor wants to do paid work with, or invest in, their mentee’s business, they must tell All Together first and this must be led entirely by the mentee after their mentoring hours via All Together have concluded, and not raised by the mentor.  

              4. Data Protection Policy 

              All Together CIC collects only the personal information it needs to run the 1:1 mentoring programme, keeps it secure, and handles it in line with UK GDPR and the Data Protection Act 2018. 

              What we collect: 

              • Names, contact details and job titles of mentors and mentees 
              • Information about mentees’ businesses and the support they are looking for 
              • Mentors’ professional background and areas of experience 
              • Session dates, matches and feedback 

              We use this information only to match mentors and mentees, arrange sessions, support the relationship and improve the programme. We never sell it or share it for marketing by others. 

              How it is stored and protected 

              • Information is kept in EngageBay, with access limited to the All Together team members who need it 
              • Accounts are password protected, with two-factor authentication where available 
              • Personal information is kept for 5 years after someone leaves the programme, then securely deleted 

              What mentors must do 

              • Use mentee information only for mentoring 
              • Keep any notes secure, and never share them 
              • Delete notes and contact details within 12 months of the mentoring relationship ending, unless both sides agree to stay in touch 

              Your rights 

              Anyone can ask to see, correct or delete the information we hold about them by emailing support@alltogether.company. We will respond within one month. 

              Data breaches 

              Anyone who thinks personal information has been lost, stolen or shared by mistake must tell the data protection contact straight away. All Together will assess the breach and report it to the Information Commissioner’s Office (ICO) within 72 hours where the law requires. 

              5. Safeguarding Policy 

              Everyone in the community has the right to be safe and treated with respect. Anyone with a safeguarding concern must report it to the Designated Safeguarding Lead the same day. 

              The mentoring programme is for adults. Mentors should not work one-to-one with anyone under 18 through All Together. 

              What counts as a safeguarding concern 

              • Someone may be at risk of harm to themselves, including signs of serious distress 
              • Someone may be experiencing abuse, harassment, exploitation or coercion, including financial abuse 
              • A mentor, mentee or team member behaves in a way that puts someone at risk 

              What to do 

              If someone is in immediate danger, call 999 first, then contact All Together’s safeguarding lead, Augusta Hydleman at gussy@alltogether.company  

              When someone tells you about a concern 

              • Listen calmly and take what they say seriously 
              • Do not promise to keep it secret. Explain that you may need to share it to keep them or others safe 
              • Do not investigate or confront anyone yourself 
              • Write down what was said, using their words where possible, with the date and time 

              How All Together responds 

              The Designated Safeguarding Lead will review every concern promptly and decide the next steps. These may include offering support, referring to specialist services, contacting the police or, where a mentor is involved, pausing their mentoring while the concern is looked into. Information is shared only with those who need to know.

              6. Confidentiality Policy 

              What is shared in a mentoring session stays between the mentor and mentee. This trust is what makes honest, valuable conversations possible. 

              What is confidential 

              • Anything discussed in sessions, including business plans, finances, strategy, staff matters and personal circumstances 
              • Documents, figures or ideas shared by either side 
              • The fact that a particular person or business is receiving mentoring, unless they are happy for this to be known 

              What everyone must do 

              • Never share confidential information with anyone outside the relationship, including other members, advisors or contacts 
              • Never use confidential information for personal or commercial benefit 
              • Keep notes and documents secure, in line with the Data Protection Policy 
              • Keep information confidential after the mentoring relationship ends 

              Mentors may share general feedback with All Together, such as how sessions are going, without passing on confidential details. 

              When confidentiality may be broken 

              Confidentiality may be broken only when: 

              • Someone is at risk of serious harm to themselves or others (see the Safeguarding Policy) 
              • There is reason to believe a serious crime has been or will be committed, such as fraud or money laundering 
              • The law requires it, for example a court order 
              • The person concerned has given clear permission 

              Where possible, the person will be told before information is shared, unless doing so would put someone at risk. Only the information needed is shared, and only with those who need it. Any decision to break confidentiality is made with the Designated Safeguarding Lead or Policy Owner and recorded.
